Data controller and contact

Data collected and its sources

We are starting with a new contact database. We will not import lists from the old website. Member data will come from registration and information provided directly when contacting us.

For access, we use your email, an account identifier, verification dates, your age declaration and privacy and marketing choices. The code is checked using a cryptographic hash, expires after 10 minutes and is not stored as plain text in the access database. The email in your inbox may remain until you delete it. We never ask for your email password.

Access limits use temporary technical identifiers, including a hash of the IP address. The hosting service may generate technical connection and security logs. If you write to us, we will process your address and the content needed to respond; avoid sending documents or sensitive information we have not requested.

Your preferred language is also saved in your account for access-related messages.

Purposes and lawful bases

  • Account and access: verifying your email, creating and managing your account and providing the requested community service, on the basis of that service relationship (Article 6(1)(b) GDPR).
  • Enquiries: responding to your requests and pre-purchase enquiries at your request. General enquiries are handled on the basis of our legitimate interest in direct communication; rights requests are handled as a legal obligation.
  • Security: preventing fraudulent access and form abuse, on the basis of our legitimate interest in protecting accounts and the service.
  • Marketing: sending news and discounts only if you tick the optional box, on the basis of your consent (Article 6(1)(a) GDPR). Declining marketing does not prevent registration.

Your email and access verification are necessary to create an account. Without them, we cannot identify you or provide access. The community is intended for people aged 18 or over.

Who can access your data

The owner manages the data. An administrative and accounting adviser is expected to assist with necessary administrative, tax and accounting tasks. Their access must be limited to the data needed for those tasks; this does not automatically give access to all member data or marketing lists. Their role, confidentiality obligations and, where they act on our behalf, the relevant data processing agreement will be established before data is shared.

The site uses WordPress installed on Hostinger. Hostinger provides hosting and email as a technical provider. WordPress is the software used to manage the website; using it does not by itself mean sharing the member database with WordPress.com.

We plan to use tools within the Hostinger environment, such as Hostinger Reach, for marketing once configured and checked. No campaigns have started and synchronisation of the Clan list has not been enabled at this stage. Only recipients with valid consent will be added, with an unsubscribe option in every message and through our contact email.

We do not sell personal data. Data may be disclosed to public bodies and authorities where legally required. Before sales open, this information will be expanded to cover the payment and shipping providers actually involved.

International services

Hostinger uses subprocessors and allows for potential processing outside the European Economic Area. Its data processing agreement describes safeguards, including standard contractual clauses where applicable, and its subprocessors. You can request information about the safeguards applicable to our service at info@elclanverde.com.

Before public registration opens, we will verify the contracting entity, service configuration and relevant transfers. We do not claim that all data remains exclusively in Spain or the European Union.

Retention

We retain your account for the service relationship or until deletion. Enquiries are retained for as long as necessary to respond and manage associated liabilities. Data that must be kept for a legal obligation or claim will have its use restricted for the applicable period.

Your marketing subscription lasts until you withdraw consent. After unsubscribing, only necessary evidence and, where appropriate, a suppression reference will be retained to prevent further messages. It will not be reused for marketing. Unsubscribing from marketing does not in itself delete your account.

Codes and their verification cookies last no more than 10 minutes. Request counters expire after 15 minutes without new requests. Hosting log and backup retention periods will be documented according to the contracted configuration before launch.

Your rights

You may exercise your rights of access, rectification, erasure, objection, restriction and portability where applicable, and withdraw consent, by writing to info@elclanverde.com or the address above. Withdrawal does not affect earlier processing. We will only request additional identity information where necessary and proportionate. We will respond within the usual one-month period; any legally permitted extension will be explained to you.

You can also lodge a complaint with the Spanish Data Protection Agency.

Automated decisions and changes

At this stage, we do not use automated decisions with legal or similarly significant effects, or advertising profiles. Before personalised discounts are enabled, we will explain their criteria and the data used. If purposes, tools or recipients change, we will update this information and request fresh consent where required.
